Reporting to the Portfolio & Operations Manager, the Orders & Logistics Coordinator is a dedicated team member who collaborates with a broad set of stakeholders to provide exceptional service to the licensee and retail customers of both The Vine Agency and Cave Spring Vineyard. This position involves daily collaboration with internal teams, sales representatives, and external partners to manage and process orders while maintaining high standards of accuracy, organization, and customer service. The Orders & Logistics Coordinator is key to achieving our top priority – customer satisfaction, which drives our organization’s growth and success.
Duties & Responsibilities
- Answer phone calls and respond to emails in a polite, professional, and timely manner with both internal and external stakeholders.
- Accurately process orders by gathering all relevant information from customers and sales representatives.
- Coordinate with customers, sales representatives, drivers, or delivery companies to ensure timely and efficient product delivery.
- Schedule and manage LCBO Vintages pickups and deliveries.
- Develop and maintain a deep understanding of our supplier portfolio.
- Utilize Microsoft Excel and FileMaker Pro to create and manage pivot tables, delivery summaries, and reports.
- Manage consignment pre-picks, enter them into the LCBO’s Elite system, and process payments accurately.
- Maintain accurate and efficient inventory management practices, ensuring alignment with company standards and industry regulations.
- Ensure adherence to company policies, procedures, and regulatory requirements.
- Offer insights for problem-solving and drive innovation initiatives.
- Embrace additional responsibilities as necessary to support the team and the overall success of the organization.
Qualifications and Skills
- Exceptional attention to detail and strong problem-solving capabilities
- 1-3 years of experience in order management, logistics, or a related field (experience in the beverage alcohol industry is an asset).
- Advanced proficiency with Microsoft Excel (pivot tables, etc.) and the ability to quickly learn new software systems.
- Demonstrated ability to think critically, resolve issues proactively, and improve processes.
- Strong understanding of Ontario's wine industry, including key regulations and trends within the beverage alcohol sector.
Working Environment
- Full-time permanent position, Monday through Friday, 8:00 AM – 4:00 PM.
- Office-based role with extensive sitting, concentration, and data management.
- Occasional physical demands, including the ability to lift up to 35 lbs.
