The Role
We are seeking a passionate and detail-oriented Wine Club Manger to join our team. In this role, you will own all aspects of our Wine Club program, including member communications, events, and club shipments. You will be responsible for building and maintaining strong relationships with our valued members, ensuring they receive exceptional service and a memorable customer experience. The ideal candidate has a deep knowledge of wine, excellent customer service skills, and the ability to manage multiple tasks in a dynamic work environment.
Responsibilities
Wine Club Management
● Oversees the day-to-day operations of the wine club, including processing new memberships, renewals, and cancellations.
● Develops and implements program strategies to recruit new members and retain existing ones.
● Coordinates and executes orders of semi-annual wine club pick ups and shipments for 5000+ members.
● Plans, coordinates, and executes on-site wine club pickups and shipments including collaborating with various departments for logistics, packing, and shipping.
● Plans, coordinates, executes, and hosts wine club events, including but not limited to member-exclusive tastings, tours, themed parties, and special promotions.
● Manages inventory levels ensuring timely and accurate fulfillment.
● Ensures all wine club orders are accounted for including following up on declined credit cards, sending pickup reminders, dealing with refused or returned shipments.
● Monitors, manages, and reviews the wine club budget, including expenses related to events, promotions, merchandise, and shipping.
● Performs batch processing of transactions in WineDirect, ensuring all customer, order and inventory data is accurate.
● Maintains accurate and up-to-date member records.
● Collaborates with Tasting Room and Outside Sales on training and engaging staff to promote and encourage Wine Club sign ups and wine sales.
● Provides exceptional customer service to wine club members, addressing inquiries and resolving issues promptly.
Wine Club Marketing and Promotion
● Creates and executes marketing campaigns to promote the wine club and its various benefits.
● Collaborates with the Hospitality team to develop promotional materials and strategies for both the sign up of wine club memberships and sale of Frind merchandise.
● Collaborates with the Outside Sales team to develop and maintain newsletters, e-blasts, club event flyers, and other promotional materials.
● Develops and maintains content for all winery brands, including writing, photography, and graphic design, as needed.
● Works with external design partners to coordinate sourcing and production of marketing assets related to Wine Club.
● Develops and executes the annual wine club marketing plan and budget in collaboration with the Hospitality Manager.
● Maintains and updates the corporate website, ensuring accurate information and smooth e-commerce flows, as applicable.
● Manages social media strategy and content related to Wine Club across platforms such as Facebook, Instagram, and LinkedIn.
● Assists Outside Sales with industry and community associations and events.
Merchandise Management
● Oversees inventory and sales of Frind merchandise for internal and external use, including wine accessories, branded apparel, and other products.
● Coordinates with suppliers and manages stock levels to ensure availability of popular items.
● Develops strategies on promoting and increasing merchandise sales to wine club members and visitors.
● Strives to find efficiencies in purchasing and sourcing of items.
VRBO Property & Guest Management
● Manages and provides information to guests staying in our VRBO property, ensuring a seamless and enjoyable experience.
● Partners with the Hospitality Coordinator to handle bookings, tastings, guest inquiries, and special requests.
● Addresses any issues or concerns raised by VRBO guests and ensure timely resolution.
● Other duties as assigned.
Requirements
● Bachelor’s degree in Business, Marketing, Hospitality, or a related field and proven experience in a similar role, preferably within the wine or hospitality industry, or equivalent combination of education and experience.
● Strong knowledge of wine and wine culture.
● Excellent marketing skills with a proven track record in sales and customer satisfaction.
● Strong experience with DTC marketing channels, specifically social media, email, and phone.
● Experience in event planning and merchandise management is preferred.
● Excellent communication and interpersonal skills.
● Strong initiative, organizational, time-management abilities.
● Detail oriented with excellent organizational skills and ability to manage and complete projects.
● In-depth knowledge of consumer trends and the ability to analyze purchase data.
● Understanding of systems and inventory records.
● Proficient in Google and Microsoft Office applications.
● Familiarity with VRBO or similar vacation rental platforms is a plus.
● Ability to lift up to 40 pounds (case of wine).
● Wine Direct and POS System experience considered an asset.
● Serving It Right Certification and WHMIS Training is an asset.
● Required to work flexible hours during peak season and special events, including evenings, weekends and holidays.
● Must have a valid Class 5 driver’s license for the purpose of regularly travelling to our Osoyoos, BC warehouse.

The pay range for this position is $60,000 to $70,000. It is not typical for an individual to be hired at the top of the range for their role. Actual placement within range will be contingent upon a number of factors, including but not limited to the candidate’s qualifications, education, experience, internal equity, and alignment with market data.
